Each member school has a unique user name and that alongside with your password will connect you to the Federation’s online form. When you connect for the first time, please use this page to create your new password https://www.nswfcls.org.au/reset-password/

Or, later in your school portal, click on “reset password” and follow the instructions to enter a new password.

If you already have a password you can login directly on https://www.nswfcls.org.au/login/

If you receive the message: Block Technical Data

Block Reason:    You have been temporarily locked out of this system. This means that you will not be able to log in for a while.

How to Register – Step 62023-01-18T11:32:34+11:00

Step 6: This step helps you complete and submit your school’s new membership and/ or insurance application form.  Part 2. Fees of previous years are available to view.

  • To renew, click on the “New Registration/ Back to my Saved Draft” button which will take you to the actual registration form.

 

TIP/ Note: you can save and return to your registration at any time by using the save your draft button when you scroll to the end of the form.

  • School section: Most of your school data will be here in their relevant fields.

Click on the “Add button to add a line for each location, all staff people (classroom teacher/ teacher volunteers and non-teaching volunteers) and management committee members. All details will be updated (“pulled through”) and across to your form. Note, that after clicking the arrows it will take some time to be processed and there is no need to rewrite any information.

  • Total numbers – next section: Fill in and add the exact number of location/s, classrooms, teachers, volunteers, students. All lists have to match with the displayed number in the field.

Then, tick on the correct boxes relevant to your community language school.

  • Documentation section: Upload your school constitution and NSW Fair-Trading Certificate. (It is important to always make this available in your school history and administration records).
  • Membership and Insurance section: Fees are generated and calculated automatically by the system, based on the information you provided. Membership is one off.

If you take insurance with the Federation tap on the button under “Would like to subscribe on our group insurance”.

Final step, proof read all your information.

  • Payment section: For a faster application, online payment is available. This will take 2 – 3 working days to be processed. Payment can be made by bank transfer, cash or cheque and require up to 5- 7 working days to be processed.

The Federation’s banking details are located the application form.

Click on the “Register your school” to submit your application.

You will then receive the following notification message of your submitted application:

How to update your Volunteers – Step 52023-01-18T11:22:45+11:00

Step 5: Review the Volunteer status for each of your non-teaching volunteers and all other volunteers for this school year: First name, Last name, email address and update accordingly. Add a new volunteer by using the red button.

  • To add a new volunteer:
  • Click on the “Add Volunteers” button to add your new teacher.
    Individual email addresses are important.

 

  • To update an existing Volunteer
  • Click on the “Update” button to change any details.

IMPORTANT: Only volunteers with the status “Active this year= Yes” will be added to your registration form in step 6.

TIP: click on each individual column (first name, last name or teaching this year) to sort your information alphabetically or choose yes/no if they are teaching or not.

How to update your Teachers – Step 42023-01-18T11:21:22+11:00

Step 4: Review the information for each of your individual classroom teachers and teaching volunteers for this year: First name, Last name, Teacher’s email address, then update accordingly.

  • To add a new teacher:
  • Click on the “Add Teachers” button to add your new teacher.
    Individual email addresses are important.
  • To update an existing teacher:
  • Click on the “Update” button to change any details.

IMPORTANT: Only teachers with the status “Teaching this year= Yes” will be added to your registration form in Step 6.

TIP: click on each individual column (first name, last name or teaching this year) to sort your information alphabetically or choose yes/no if they are teaching or not.

How to update your Class Locations – Step 32023-01-18T11:27:31+11:00

Step 3: Review your school location/s for this school year.

  • To add a new location
  • Click on the “Add Class Location” to edit a new class location and details: Your language, class location (Host School, street), day/s & time, Suburb, State Electorate; Federal Electorate; etc.

  • To update existing School location/ s details:
  • Click on the “Update” button to change any details.

IMPORTANT: Only the locations stated as “running” will be “pulled through” (updated) to your new registration form. The running locations will be calculated automatically in your total payable amount.

Please print correctly “your class location/s” e.g. Host school name and/ or address as this will be copied in to your Certificate of Currency, when you accept to receive Insurance with the Federation.

How to update your Committee Members Details – Step 22023-01-18T11:24:50+11:00

Step 2: Review if all school Management Committee Members are listed.

  • To add new Committee Members
    • Click on the red button to add your new committee member
  • To update existing Committee Member details:
    • Click on the “Update” button next to each committee member to update their details.
  • To delete past Committee Member details:
    • Click on the “Delete” button next to a committee if they are no longer involved with the school.

TIP: You can click on the individual column/s (first name, last name, positions) to sort your information in alphabetical order.

How to update your School Details – Step 12023-01-18T11:19:25+11:00

Step 1: Check that all details are correct and up to date.

  • If you need to change your school details or the main contact persons’ information
    • Click on the red button “Review and Update”.
    • Update the information and continue.

All new details will be saved automatically!

Why do I need to complete ALL steps before registering my school?2023-01-18T11:16:21+11:00

Steps 1 to 5 are the compulsory preparation steps for your application.
They collect all the information about your school.

Step 6 is the actual registration form but…
Step 6
adds automatically and is ‘pulled’ individually from the pool of active teachers/volunteers/ management/ sites from Steps 1 to 5 to fill in your application form.
If you don’t provide information and/ or update in steps 1 to 5, your application form in step 6 will be empty or incorrect and you will not be able to fill in the missing information here.

My School page – 6 steps to register your school2023-01-18T11:12:00+11:00

A: Your school page contains your community language school records.

This is where your keep your school’s information (contact details, teachers, etc.) up to date.

The information is stored here and can be re-visited and updated any time throughout the year by your school’s designated representative (managing user). If the information is recently updated and current you can proceed with step 6 straight away.

You can save your NEW application form as a draft and complete it in a later time and date.

Once submitted, “Register your School” you cannot revisit the form. In this case, please contact the office.

Applying to register your school with NSWFCLS follows a 2 parts process:

  • PART ONE = update all your school’s information in steps 1 to 5
    You MUST add your school’s current information in steps 1-5
    The information will be added either automatically or pulled through by you to your registration form in Step 6.

    • Step 1: Your school’s details and main contact people
    • Step 2: Your school’s Committee Members
    • Step 3: Your school’s location/s
    • Step 4: Your classroom teachers and teaching volunteers
    • Step 5: Your non-teaching volunteers and all other school volunteers.

 

  • PART TWO = fill in the registration form in step 6

This is where you finalise your NEW registration / application form. It is the final step in registering your school.

Step 6 adds automatically and is ‘pulled’ individually from the pool of information of active teachers/volunteers/ management/ sites from steps 1 to 5 to fill in your application form and, you will only need to provide a few more details in order to complete your school’s registration.

If you don’t provide information and/ or update in steps 1 to 5, your application form in Step 6 will be empty or incorrect and you will not be able to fill in the missing information here.
